UC Leave Policy
The University of California has updated its policy regarding expanded paid administrative leave during the COVID-19 crisis.
The Executive Order makes all employees eligible to receive a one-time allotment of up to 128 hours of paid administrative leave to be used no later than December 31, 2020, based on certain conditions.
The paid administrative leave hours may be used by UC employees who are unable to work due to COVID-19, including:
- When an employee is unable to work due to the employee’s own COVID-19-related illness or that of a family member;
- When an employee is unable to work because the employee has been directed not to come to the worksite for COVID-19-related reasons and/or the worksite has implemented a COVID-19-related remote-work program or is under a shelter-in-place order and it is not operationally feasible for the employee to work remotely;
- When an employee is unable to work because a COVID-19-related school or daycare closure requires the employee to be at home with a child or dependent, and it is not operationally feasible for the employee to work remotely or in conjunction with the childcare commitment.
Employees may also be eligible for additional leave under the Families First Coronavirus Response Act (FFCRA). Please refer to the updated policy for full details.
Families First Coronavirus Response Act (FFCRA)
University of California employees may be eligible for the leaves detailed in the Families First Coronavirus Response Act (FFCRA). Please take a moment to review the following documents as they outline the requirements to access these additional leave benefits:

Flexible Spending Account (FSA) changes
The Coronavirus Aid, Relief, and Economic Security (CARES) Act signed into law as of March 27, 2020, contains important provisions that will affect Flexible Spending Accounts (FSAs). Certain changes in your situation may allow you to increase or decrease contributions, or enroll or disenroll from your FSA.

UCLA Talent Match ProgramThe UCLA Talent Match Program matches available talent with work opportunities in departments across UCLA. Employees who are looking for work should review the available job opportunities and complete the availability and interest form.
Financial Resources- For employees who are temporarily under-employed with reduced hours, the California EDD website has information on filing for unemployment benefits.
- Find free or reduced-cost programs in your area such as food benefits, legal aid, and financial assistance by searching your zip code on FindHelp.org.
- CalFresh is California's food stamps (SNAP) program. Apply for food assistance at GetCalFresh.org.
- Students and staff are able to access campus counseling and psychological resources.
- The March Crossroads Newsletter includes tips on self-care and how to stay healthy.
- Enroll in UCLA Recreation's FITWELL virtual programs, available to University employees at no cost.
- Sign up for UCLA Recreation's MoveMail which will send you daily exercise reminders and fitness tips.
Telecommuting Tools & Tips
As we continue to navigate a changing work environment caused by COVID-19, we have provided the following helpful resources for E&T employees working remotely.
- Before beginning any telecommuting arrangement, please fill out the Telecommuting Agreement and submit it to your supervisor for approval.
- Visit our Telecommuting Resources page for information about IT resources and conferencing and collaboration tools.
- UCLA Ergonomics has telecommuting fact sheets with tips on improving your setup at home. They also host live webinars on Zoom followed by a Q&A session.
Kronos guidelines for managers/supervisors
With many of our employees working remotely or taking leave due to the impacts from COVID-19, the University is asking all managers and supervisors to review and edit their direct report’s timecards daily.
Editors should complete timecard edits with appropriate pay codes as well as appropriate comments. As indicated by the University, the ADMINLV-PDEMR pay code should only be used with COVID-19 related circumstances. For those managers and supervisors with employees utilizing the Timestamp feature in Kronos, please add the appropriate comment to their first timestamp of the day every day.

How Can You Help?
Donate Blood- There is a critical blood shortage at UCLA. Please consider donating lifesaving blood to the UCLA Blood & Platelet Center. Employees who donate blood will receive paid administrative leave hours.
- Help our student workers by donating to the E&T Food Cabinet in the RRUCLA Valet Office. Please email Mike Edwards at medwards@ts.ucla.edu to coordinate drop-offs.
- The Community Programs Office Food Closet has moved online during this time. Make a donation to help UCLA students experiencing hunger.
- Help the LA Regional Food Bank by donating money to help those in our community impacted by COVID-19.
- Do you have unused, unopened personal protective equipment (like gloves, masks, gowns, face shields, or eyewear) that could be used by UCLA Health professionals? If you do, please email COVID19ppesupport@mednet.ucla.edu.
